Reports overview

Reports give you a clear view of how your business is performing and what is happening across the system.

They bring together the figures you need to understand sales, revenue, payments, profit and loss, client activity and overall business performance. Instead of working through individual jobs, leads or payments one at a time, you can use reports to see patterns and totals across your business.

Reports are useful when you want to check how a particular period is going, compare services or packages, understand where revenue is coming from or identify activity that needs your attention.

What you can see in reports

Reports cover the financial and operational information created as you use the system.

Depending on the report, you can see:

Revenue
Profit and loss
Payments received
Sales performance
Popular packages and services
Quote activity and quote values
Conversion rates
Leads and jobs by location
Client sessions and booking activity
A history of changes made in the system

Each report focuses on a different part of your business. Together, they help you move from individual records to an overall picture of performance.

Sales, revenue and performance

Sales reports help you see what is bringing money into the business.

You can use them to identify your top sales performers, compare revenue and see which packages or services are most popular. This is useful when you are deciding where to focus sales activity, which services to promote or whether a package is performing as expected.

A popular service is not always the most profitable one, and a higher-priced package is not always the one clients choose most often. Looking at the reports regularly helps you see both the volume of sales and the revenue connected to them.

Use this information when you are reviewing targets, planning offers or deciding where to spend time improving your sales process.

Quote statistics

Quote reports show how quotes are being sent and what they are worth.

You can see the average number of quotes sent in a month, your total quoted revenue and the average revenue per quote. These figures help you understand both the amount of sales activity happening and the value of the work you are quoting for.

For example, sending a large number of quotes may look positive at first, but the average quote value can show whether those enquiries are turning into the type of work you want. It can also help you spot changes over time, such as a quieter month, a stronger period for higher-value work or a drop in the number of quotes being created.

Quote statistics work well alongside conversion reporting. Together, they show how much you are quoting and how effectively that activity is turning into confirmed work.

Location Reports

If you use locations, reports can break down leads, jobs and revenue by location.

This makes it easier to compare different areas of the business. You can see where leads are coming from, which locations are generating the most jobs and how revenue differs between them.

Location reporting is useful when you operate from more than one site, cover several areas or want to understand which location is producing the strongest results.

Use the same reporting period when comparing locations. This gives you a more useful comparison than looking at one location’s busiest period against another location’s quieter one.

Sessions and booking activity

Session reporting shows activity from people who have visited your site and moved through your booking form.

It can help you see clients who started the process without completing it, as well as sessions that did reach checkout. You can review information such as the average quote or basket total and see when a session expires.

This gives you a better understanding of client behaviour before a booking is completed. It can show whether people are reaching your booking form, whether they are getting part way through it and the value of the work they were considering.

Session reports are particularly useful when you want to review your online booking journey. A client who begins but does not complete the process may need a follow-up, or the data may show a pattern worth looking into.

Payments

Payment reports give you a full transaction history.

Use them to see payments that have come in and review the payment activity connected to your business. This is useful for checking recent transactions, investigating a payment question or getting a quick view of money received during a particular period.

Payment reporting gives you a record of transaction activity, while profit and loss reporting gives you a broader financial view of the business.

Profit and loss

Profit and loss reports help you understand the financial position of the business.

You can set up income and expenses, then use the report to see your profit and loss before and after tax. This helps you look beyond revenue alone and understand what remains once business expenses have been taken into account.

Keeping income and expenses up to date makes this report more useful. The report can only reflect the information that has been entered, so add costs as they arise and review the figures regularly.

Use profit and loss reporting when you are reviewing business performance, planning spending or preparing financial information.

Activity log

The Activity Log records changes made in the system.

It helps you see who made a change and what they changed. This is useful when you need to check the history of a record, understand why something looks different or follow up on work completed by another member of staff.

The Activity Log is an operational report rather than a sales or financial one. It gives you visibility over activity across the system and helps keep changes easier to trace.
